Terms & Conditions


Coulscott House
The Contract for a short-term holiday rental will be between the Coulscott House Owners (referred to as “us” or “we”) and the person making the booking and all members of the holiday party (referred to as “you” or “your”) in the following booking conditions. UK law will govern the Contract. The contract of hire is not effective until we have received the deposit. The contract will be subject to these booking conditions, and must be complied with. The party leader must be at least 18 years of age at the time of booking and the booking form must list names, addresses and ages (if under 25) of your party.

Payment
Bookings are confirmed on receipt of the booking form and a cheque for the deposit of 1/3 of the holiday cost. A cheque for the balance of the rental will be due for payment 6 weeks prior to the holiday commencement date and we reserve the right to cancel a holiday where payment has not been received 6 weeks before the commencement date. If the booking is made within 6 weeks of the holiday start date the full rental will be required. Once you have a confirmed booking (you have sent the booking form and paid the deposit), you are responsible for the full rental cost even if you subsequently cancel.

Cancellation
Cancellations must be immediately notified to us by phone and confirmed in writing (and you must receive confirmation of receipt from us). If we are able to re-let your booking we will refund to you the final letting price (which may be less than you paid) less an administration fee. If we are unable to re-let there will be no refund under any circumstances.

If you do not arrive by midday on the day after the start of your holiday and you have not informed us of this we reserve the right to re let the property without further referral to yourself and without refund. 

Cancellation Insurance
Cancellation Insurance is not compulsory but we strongly recommend such insurance to protect against the cancellation penalty. 

Number of Guests Using the Property
Under no circumstances may more than the maximum number of persons stated in the brochure and the web site occupy the property. We reserve the right to refuse admittance if this condition is not observed. Any persons other than members of your party must not use the facilities at Coulscott House - only those guest listed on the booking form will be provided with linen and towels.

If you wish to add to or change any members of your party or vehicles you should let us know, in writing, well in advance. Changes will be allowed at our discretion.

Force Majeure

If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.

Period of Hire
You should not arrive before 4pm on the commencement date, and leave by 10am on the day of departure. Failure to do so will result in you being charged a further day’s rental. You must not use the property except for the purpose of a holiday during the holiday period, and not for any other purpose or longer period. The agreement to stay in the property for the holiday period, does not create the relationship of Landlord and Tenant between the parties.

Babies

We do not supply cot linen or house and pool towels for babies in cots. Travel cots and high chairs (Our cots are travel cots and we will only provide them and high chairs for children 18 months of age or younger and weighing under 30 pounds.) are available but must be requested at the time of booking.

Care of the Property
You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair, and in the same clean and tidy condition at the end of the rental period as at the beginning. Smoking is not allowed in any of the cottages. You must not use the properties for any dangerous offensive or illegal activities and you will not cause annoyance or become a nuisance to fellow holidaymakers, tenants or neighbours of adjoining premises or land. If you fail to observe our terms and conditions we have the right to terminate your booking even if you are already at the property by asking you to leave at once without any compensation becoming payable to you.

Damages and Breakages
You must leave the property clean and tidy reporting any breakages or damage immediately to us, please do not leave this to your departure day as this may inconvenience the next guests. You are legally bound to reimburse us for replacement, repair or extra cleaning costs on demand. Furniture must not be moved from its original position.

Supply of Services
Guests should note that our rural position means that services such as water and electricity supplies can falter. In the event of interruption of supply every effort will be made to restore proper service as soon as possible.

Facilities
Our pool hall is unsupervised. Children under fourteen, all non swimmers and dependant adults must be accompanied in the pool hall by a competent adult swimmer at all times and they remain the accompanying parent or guardian's responsibility at all times. The pool hall will be closed for half a day each week for cleaning and maintenance purposes this is usually on Friday mornings. Normally open 09.00 - 20.00. You must familiarise yourself on arrival with the safety regulations concerning the use of the pool and adhere to them at all times.  For safety reasons the Pool Hall door must be always be kept closed and left locked. 
Children need to be supervised by a responsible adult whilst using the facilities provided.

Facilities may be out of use from time to time and their availability is not guaranteed.

Care should be taken by everyone in the grounds and in the vicinity of the streams and ponds.

Hot tubs
The Georgian House and Farm House have their own hot tubs and the Cottages share one.  These are for the sole use of guests of the respective houses. They will need checking on a regular basis to keep it clean and we ask you to read the safety rules concerning the hot tubs.

Right of Entry
We shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.

Parking
Please note the number of car park spaces available for each property as it may not be possible for us to accommodate additional vehicles especially during busy periods. (Georgian House - 3, Old Farmhouse - 2, Peacock Cottage - 1, Aylesbury Cottage - 1, Bantam Cottage - 1). Extra vehicles may only park on site after discussion with us.

Welcome Pack
On arrival you will find our welcome book which contains lots of useful information on Coulscott and the surrounding areas together with advice on security and safety issues. Please ensure you read through this at your earliest convenience.

Dogs
Only those dogs as have been mentioned on the booking form may be brought and they must be kept under strict control and on leads at all times (due to free range hens, peacocks and ducks), not left unattended in the property or grounds, not allowed upstairs or on any of the furniture, window sills or beds or allowed in any other property other than the one they are booked into. You must clean up after them and dispose of their toilet promptly and sensibly. Bring suitable bedding and towels and their own water and feeding bowls. Dogs are not permitted if they are in season and they are not allowed in the pool hall. Supplements charged are per week or part thereof per house and per dog and are in respect of additional wear and tear on the property and its furnishings and not in respect of any additional cleaning your dog may create. It is up to you to ensure you clean and hoover thoroughly prior to your departure.

Complaints
If you have any problems or concerns during your stay we ask you to contact us immediately in order that we may assess the situation and put things right if necessary. Under no circumstances will compensation be made or correspondence entered into in connection with complaints raised after the property has been vacated unless we have been properly notified during your occupancy.

Liability
Coulscott House, its employees and its representatives shall not be liable to you or your party's for loss or damage to property howsoever arising. You must take all necessary steps to protect and safeguard your personal property. 

Please Note
Bookings from single sex parties where any of the party is aged under 25 will only be taken at our discretion.
Bookings where all members of the party are aged under 25 will only be taken at our discretions.
We reserve the right to refuse a reservation without giving reasons.
